Our Services
Homeowner Association Services is Year 2000 compliant with our entire computer system. We use a data base that is specifically customized for our clients. The diverse capabilities of the data base allows management to easily track information and generate reports in each of our key service areas. Administrative Management Services and Property Management Services Financial Management Services We believe that Board members who can understand and trust the financial reports are better able to make informed decisions concerning their fiscal responsibilities. We feel that accurate, sound financial management is one of the most important areas of a smoothly operating association. Simply put, our financial reports are accurate, timely, easy to read and easy to understand. We offer lock box collection of homeowner dues so that the association's operating account can begin generating interest income immediately. We offer our clients the choice of monthly statements, coupon books, or direct deposit of homeowner dues for those client's members who choose not to write checks. Billings are generated on a timely basis according to each Association's billing schedule. We routinely review the delinquent accounts and ensure the collection process is conducted in accordance with the Association's collection policy. We review and process invoices for services performed daily with checks being released two to three times per month. This allows the Association to take advantage of any vendor discounts. We assist the Association in the Budgeting and Forecasting process and facilitate the reserve study process to ensure both current and future financial commitments are well planned. We work closely with various CPA'S, some of whom come onsite to our office to perform the tax or audit work required of your Association. Administrative Management Services Most Board members have many responsibilities and lead very busy lives in addition to being a leader in their community. We believe in making the activity of being a Board member as effortless as possible by handling daily administrative management details completely and expeditiously. The property manager attends all Board meetings in accordance with the contract and maintains the minutes of all Board meetings. Our Board meeting agenda packages are mailed to Board members one week in advance of the meeting and include such key items as: recent minutes, monthly financial statements, and a manager report updating various topics such as bids, correspondence since the last meeting, and any important homeowner issues. Escrow packets are prepared and distributed upon notification of a sale or refinance. Records of sales and transfers are updated upon the close of each escrow with the association data base containing the list of all owners and other pertinent information properly updated. A record of all architectural requests containing the date and nature of the request, the committee turnaround and response time. Copies of all requests are maintained on file. Homeowner questions are answered courteously, promptly and accurately. If appropriate, reservations for the use of Association facilities are made in accordance to the Association's policies. Fees and refunds are also handled according to the policies. Many residents judge the entire Association by one aspect of the property. Some residents or prospective buyers, may be focused on the curb appeal of the front entrance while others may focus on the cleanliness of the pool. In light of this, it is important that all aspects of the operation of the community are in top notch condition to maximize resident satisfaction and your return on investment. Properties are inspected by the manager on a regular basis. Any repairs or corrections are handled according to the specification of the Association. We provide assistance in enforcement of community association covenants, conditions and restrictions. We use local contractors who stand by their work and have a proven track record. We prefer vendors who respond in a timely manner, have proper insurance coverage, and who understand that the association customer "is always right". We maintain a twenty-four hour, 7 days a week answering service with an on-call manager to respond to emergencies.
