Administrative Management Services and Property Management Services Approach To Scope Of Services For most owners, the purchase of a home is their single largest investment. The approach taken by Homeowner Association Services to the operation of an association reflects this importance as we manage every detail in the community as though it were our own home. This ultimately results in a pleasant living environment for all residents. Homeowner Association Services looks to use local contractors who stand behind their work and who have been in business long enough to prove themselves. We make every effort to build relationships with vendors that benefit the association. We believe that a vendor who is familiar with the unique and special characteristics of a property, who stands behind his work, responds in a timely manner, and who will be in business should future problems arise, is one of the most valuable assets a property can have. Conversely, we are always striving to achieve the best performance for the lowest possible cost. We do not hesitate to discuss problems with vendors and we expect each vendor to perform to the highest standard. With the concurrence with the Board, we do not hesitate to change vendors should performance not meet the association's expectations. Administrative Management Services With regard to accounts receivable, we offer lock box collection of homeowner dues so that the association's operating account can begin generating interest income immediately. We also offer direct deposit of homeowner dues for those client's members who choose not to write checks. We are utilizing financial software that permits a bank to transmit deposit information directly to our computer, thus minimizing the chance of errors in receivables data entry. Each month, the delinquent accounts are reviewed and collection efforts are commenced in accordance with the Association's collection policy. Billings are generated on a timely basis according to each Association's billing schedule. Invoices for services are reviewed and approved for payment daily and accounts payable checks are cut two to three times per month. This practice allows the Association to take advantage of any vendor discounts. Additionally, we have been told by some of our vendors that they place a priority on servicing our homeowner accounts because they are confident of being paid promptly. We assist our clients with the filing of taxes and work closely with various CPAs, some of whom come to our office for a day or so during tax season, as we maintain an excellent filing system to support accounting review and audit requirements. Property Management Services Many residents judge the entire association by one aspect of the property. Some residents (or perspective buyers) may be focused on the curb appeal of the front entrance while others may focus on the cleanliness of the pool. In light of this, it is important that all aspects of the operation of the community are top notch in order to maximize resident satisfaction and your return on investment. The communities we manage are inspected by the manager on a regular basis. We hold to the belief that we cannot manage your community from our desks. During routine inspections, association facilities (such as recreational facilities, walkways and landscaping) are checked out and evaluated. Any repairs or corrections are handled in accordance with the individual specifications of each association. If required, bids are initiated for Board review. When requesting bids on major work, inspections with bidding contractors are conducted to explain the precise scope of work being bid.
